Xero for Schools and Education Providers
Schools, academies, and education providers have unique accounting requirements: fund management, budget reporting to governors or trustees, ESFA returns, and strict audit requirements. Xero can handle the financial accounting for smaller education organisations, though larger multi-academy trusts may need specialist software.
Who Can Use Xero in Education?
- Independent schools – Xero works well for private schools managing fee income, staff costs, and operational expenses
- Small academy trusts – single-academy trusts can use Xero for day-to-day accounting, though you’ll need additional reporting for ESFA returns
- Tutoring businesses – freelance tutors and tutoring companies use Xero for invoicing, expense tracking, and tax returns
- Training providers – organisations delivering CPD, apprenticeships, or professional training
- Nurseries and early years providers – tracking fee income, funded hours from local authorities, and staff costs
State-maintained schools typically use their local authority’s finance system (SIMS, PSF). Xero isn’t designed to replace these, but can complement them for specific functions.
Managing Fee Income
For schools that charge fees (independent schools, nurseries, some training providers), Xero handles the invoicing and payment tracking:
- Create recurring invoices for termly or monthly fees
- Track who has paid and who hasn’t via the Aged Receivables report
- Accept payments via GoCardless (direct debit) or card payments (Stripe) – both integrate with Xero
- Offer payment plans by splitting annual fees into monthly instalments
Direct debit via GoCardless is particularly popular with schools. Parents set it up once, and fees are collected automatically each month. The payments appear in Xero via your bank feed and match to the invoices automatically.
Fund Accounting for Academies
Academy trusts must account for different funding streams separately: General Annual Grant (GAG), Pupil Premium, Sports Premium, capital grants, and local fundraising income. Xero’s tracking categories can separate these funds:
- Create a tracking category called “Fund”
- Add options for each funding stream: GAG, Pupil Premium, Capital, Unrestricted
- Tag every transaction to the appropriate fund
- Run P&L by tracking category to see income and expenditure per fund
This gives governors visibility into how each funding stream is being spent – which is a requirement for academy trust financial management and ESFA compliance.
Budget Management for Schools
Schools operate on fixed budgets that must last the academic year. Xero’s Budget Manager lets you set annual or monthly budgets and track spending against them in real time. The Budget vs Actual report shows at a glance whether any category is overspending.
For governor reporting, export the Budget vs Actual report as a PDF and present it at each governing body meeting. This meets the financial reporting requirements that the DfE expects from academy trusts and independent schools.
Payroll for Schools
Staff costs typically account for 70-80% of a school’s budget. Xero integrates with payroll providers to record staff costs accurately. Key considerations for education payroll:
- Teachers’ Pension Scheme – employer contribution rates for TPS are set by the DfE. Make sure your payroll system handles TPS deductions correctly.
- Term-time only staff – TAs, lunchtime supervisors, and support staff often work term-time only. Payroll needs to calculate their annual salary pro-rata.
- Supply staff and agency workers – record these costs in Xero against a separate account code so you can see the true cost of temporary cover.
Reporting for Governors and Trustees
Governors and trustees need clear, timely financial information. Xero provides:
- Monthly P&L – income and expenditure for the current period and year-to-date
- Budget vs Actual – spending against approved budget with variances highlighted
- Cash flow forecast – projected cash position to flag any shortfalls before they hit
- Aged Debtors – outstanding fee income (for independent schools)
Invite governors as read-only Xero users so they can access reports directly between meetings.
